Learner Booking Policy.
Effective Date: 8 December 2025
(Schedule 3 to the Terms and Conditions)
This Booking Policy forms part of, and must be read together with, the DriveBuddy Terms and Conditions (the Terms) and the Payment Policy. Capitalised terms used but not defined in this Policy have the meanings given in the Terms.
This Policy applies to all Learners using the DriveBuddy Platform and governs how bookings can be edited, rescheduled, and cancelled.
1. OVERVIEW
1.1 Making changes to bookings. We understand that plans change. This Policy explains your options for modifying bookings and the applicable timeframes and conditions.
1.2 Platform modifications only. All booking modifications (edits, reschedules, and cancellations) must be made through the DriveBuddy Platform. Changes made outside the Platform (e.g., via text message or phone call to your Instructor) are not valid and the original booking will remain active.
1.3 Key timeframes. Different rules apply depending on how far in advance you make changes:
- More than 24 hours before: Free cancellations and reschedules
- Within 24 hours: Late cancellation fees may apply
- Within 2 hours: Pickup location edits are no longer available
2. EDITING YOUR BOOKING
2.1 What can be edited. You may edit certain details of a confirmed booking, including:
- pickup location;
- notes or special instructions for your Instructor; and
- contact details.
2.2 Pickup location changes. You can edit your pickup location up until 2 hours before your scheduled lesson time. After this point, pickup location changes are no longer available through the Platform.
2.3 If you need to change pickup location within 2 hours. If you need to change your pickup location less than 2 hours before your lesson, you should contact your Instructor directly through the Platform messaging system. Your Instructor may agree to the change at their discretion, but is not obligated to do so.
2.4 Edits do not change lesson time. Editing your booking details (such as pickup location) does not change the date or time of your lesson. To change when your lesson occurs, you must reschedule (see clause 3).
3. RESCHEDULING YOUR BOOKING
3.1 What is rescheduling. Rescheduling means changing the date and/or time of your lesson to a different available slot with the same Instructor.
3.2 Rescheduling more than 24 hours before. If you reschedule more than 24 hours before your scheduled lesson time:
- there is no fee or penalty;
- your original booking will be cancelled;
- a reschedule request will be sent to your Instructor; and
- once your Instructor confirms the new time, your new booking will be confirmed.
3.3 Reschedule requests. When you submit a reschedule request, it will be sent to your Instructor for confirmation. The request will expire if not accepted by the Instructor within 24 hours or at the original booking start time, whichever comes first.
3.4 If a reschedule request is not accepted. If your Instructor does not accept your reschedule request before it expires, your original booking will be treated as cancelled and the cancellation rules in clause 4 will apply based on when you submitted the reschedule request.
3.5 Rescheduling within 24 hours. If you attempt to reschedule within 24 hours of your scheduled lesson time, the late cancellation rules in clause 4.3 will apply. You should contact your Instructor through the Platform to discuss options.
4. CANCELLING YOUR BOOKING
4.1 General. You may cancel a confirmed booking at any time through the Platform. Different rules apply depending on when you cancel.
4.2 Cancellation More Than 24 Hours Before
If you cancel more than 24 hours before your scheduled lesson time:
- the full lesson fee will be returned to your DriveBuddy wallet as Credits;
- you can use these Credits to book a new lesson with any Instructor on the Platform; and
- there is no cancellation fee or penalty.
4.3 Late Cancellation (Within 24 Hours)
If you cancel within 24 hours of your scheduled lesson time, or if you fail to attend your lesson (no-show):
- this is considered a late cancellation;
- the Instructor is entitled to retain 100% of the lesson fee as a late cancellation fee; and
- the Learner acknowledges that this amount represents a genuine pre-estimate of the Instructor's loss, as the Instructor has reserved this time and is unlikely to fill the slot at short notice.
4.4 Instructor Discretion to Waive Late Cancellation Fee
At the Instructor's sole discretion, the Instructor may choose to waive the late cancellation fee and allow you to reschedule without penalty. This is entirely at the Instructor's option and goodwill.
If an Instructor chooses to waive the late cancellation fee:
- the lesson fee will be returned to your DriveBuddy wallet as Credits; and
- you may use these Credits to rebook with the same or a different Instructor.
Instructors have 30 days from the date of the late cancellation to waive the fee. If no action is taken within this period, the Instructor will automatically receive the lesson fee as the late cancellation fee.
4.5 No-Shows
If you fail to attend a confirmed booking without cancelling through the Platform, this is treated as a late cancellation and the Instructor is entitled to retain 100% of the lesson fee.
A no-show occurs when:
- you do not arrive at the agreed pickup location within a reasonable time of the scheduled lesson start;
- you are not contactable by the Instructor at the scheduled lesson time; or
- you arrive without a valid learner permit or licence.
5. INSTRUCTOR CANCELLATIONS
5.1 If your Instructor cancels. If your Instructor cancels a confirmed booking for any reason:
- the full lesson fee will be immediately returned to your DriveBuddy wallet as Credits;
- you may rebook with the same Instructor at a different time;
- you may book with a different Instructor; or
- you may request a refund to your original payment method in accordance with the Payment Policy.
5.2 Weather and safety cancellations. Instructors may cancel lessons where weather conditions or other safety concerns make driving instruction unsafe. These are treated as Instructor cancellations and you will receive a full credit return.

6. SPECIAL CIRCUMSTANCES
6.1 Emergencies. We understand that genuine emergencies happen. If you need to cancel due to an emergency within 24 hours of your lesson, please contact us. While late cancellation rules apply by default, DriveBuddy may, in its discretion, review individual circumstances.
6.2 Disputes. If you have a dispute about a cancellation or believe a late cancellation fee was applied unfairly, please contact us. We will review the circumstances and work with you and the Instructor to reach a fair resolution.
6.3 Repeated late cancellations. Learners who repeatedly cancel within 24 hours or fail to attend bookings may be subject to account review. Excessive late cancellations impact Instructors and the Platform community.
7. HOW CREDITS WORK WITH CANCELLATIONS
7.1 Credits returned. When a cancellation results in Credits being returned to your wallet, those Credits:
- are available immediately for new bookings;
- can be used with any Instructor on the Platform;
- retain their original expiry date (24 months from original purchase); and
- are subject to the terms in the Payment Policy.
7.2 Refunds to original payment method. Following an Instructor cancellation, you may request a refund to your original payment method instead of Credits. See the Payment Policy for refund terms and processing times.

9. CHANGES TO THIS POLICY
9.1 DriveBuddy may amend this Policy in accordance with the Terms. The version published on the Platform at the relevant time will apply.
